Meeting & Event Coordinator
Summary:
The Meeting & Event Coordinator assists with the coordination and preparation of event logistics across our client base. This position will work closely with the Meeting & Event Manager to ensure the successful implementation of all our client event services.
Responsibilities:
- Plan and manage logistics of meetings, conferences and events, trade events and training courses. This includes venue selection, food and beverage planning, A/V planning, and coordination of marketing materials and communications.
- Ability to negotiate venue and hotel contracts.
- Work with vendors to plan catering, audio/visual, giveaways, entertainment, photography, travel, hotel accommodations, etc. to ensure high quality events that are cost efficient.
- Assist with the development and management of event budgets.
- Travel onsite to events as needed to manage event operations.
- Assist with set-up of online meeting registration systems/sites.
- Provide administrative support as needed; manage other projects as needed.
Qualifications:
- Associates or Bachelor’s degree with a concentration in hospitality management.
- 1 – 2 years meeting planning experience, marketing and administrative experience.
- Must be detail-oriented, with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment.
- Must be a self-starter, with the ability to work well under pressure, work independently with limited supervision and have solid problem-solving, judgment and decision-making skills.
- Excellent customer-service and interpersonal skills.
- Strong writing and editing skills.
- High level of creativity and "rolled up sleeves" working style.
- Flexibility to work independently and as a team player.
- Proficiency with Word, Excel, PowerPoint and knowledgeable about Adobe.
- Must be willing and able to travel domestically and internationally as needed.
